5S MANAGERS MAKING OFFICE INNOVATIONS The City Civil Registrar, Engr. John Loyac, is happy to report the major accomplishments of the designated monthly 5S Managers in the Local Civil Registry Office. Itcan be recalled the program of designating a 5S Manager for the month was initiated by the CCR as inspired by the Supervisory Development Course Training in developing leaders from among the staff even in the rank-and-file. And to date, the LCRO continues to surprise and amuse its neighboring departments with the recent innovations being done by the said office. From the month of May 2008, Registrarion Officer I John Luther Astrero made headway in keeping tabs of client traffic by instituting a visitors log. With the visitor's log that records the date, time, names and purpose of the clients, their addresses and contact numbers were also requested. The reason for this being so that should the LCRO issue an erroneous document, it can be easily remedied by contacting the person concerned and making the necessary correction even before the clients submit the erroneous documents to the other agencies such as the SSS, GSIS, PRC, and DFA to name a few. Likewise, the clients will have the opportunity to give feedback through the logbook by commenting positively or negatively to the quality of service being delivered by the LCRO. Mr. Astrero happily reports that clients have been very supportive of his pet project as 5S Manager and that they were likewise generous in giving feedback regarding suggestions to improve the LCRO work. "One such comment from a client was that the office of the Civil Registrar should be closed and allow one client group at a time since some clients prefer to keep their problems and concerns with the CCR in strict confidence especially when dealing with sensitive issues like annulment, marriage counseling, single parents, etc," Astrero added. Meanwhile, Registration Officer III, Luzviminda G. Jimenez followed in June 2008. Her stint as 5S Manager signaled the start of systematizing personnel welfare and management. She coordinated and conducted dialogues with all five other staff personnel and convinced them that there is a need for employees, especially at the LCRO to have a time for leisure and relaxation. The purpose of this breaktime, she says, will not only allow the staff personnel to release stress and tirenes, it will also deminish instances of errors in the clerical functions such as typing critical names and dates in civil registry documents and sorting the same for filing and reporting. Each of the 6-member staff drew lots on what time will they enjoy their break. SInce then, it was also agreed that any personnel who goes beyong his or her break time will pay a penalty of P10 to be collected and saved as common or mutual fund. Administrative Assistant Annie Rose Abaya is the current 5S Manager for July 2008 and she has already proven her leadership skills by instituting a 5- 10 minutes of stretching exercise between 11 to 12 noon and other stretching exercises between 4 to 5 p.m. In the two weeks since her program started, Mrs. Abaya eagerly reports that some of the neighboring departments have been commenting positively about the exercise program. CCR Loyac beamed that he had also reduced some weight saying he can now fit in the seat belt of his van, which was impossible last month. Mrs. Annie is planning to include stair climbing and brisk walking around the City Hall grounds in the coming days. Understandably, expectations are high when August 2008 comes along when Administrative Assistant Ma. Lourdes A. Olivas takes over for her tour of duty as 5S Manager. This early she plans on holding morning prayers and bible or qoutation passages as her pet project yo instill moral values and goods camaraderie in the workplace. Rhyann Gabuat, an Office Contractual Employee, will also have this turn on September 2008 and Registration Officer III Perlita O. Gabuat ends the first cycle in October 2008. CCR Loyac intends to continue the monthly 5S Managers program seeing many more possibe office innovations in the future. |
